This article shows you how to import a new user or multiple users through the user import using Excel.

First navigate to Admin > Organization > Users, and click "Import new user".


Downloading the example file shows you all the values which could be specified for each user and what format they should be provided in. 


The file will be downloaded to your computer. Here you see the user example file in which we have highlighted below the mandatory properties (first name, last name and e-mail and/or username) for multiple new users. 

Note: If a user is created with a username rather than an email, they will not receive emails from the platform and will not be able to access the platform unless they are provided with their username and password created.


Important: To ensure a successful import of users, the following requirements must be fulfilled when creating your user file:

  • All data fields are case sensitive - meaning even a blank space is considered a character in a field.

  • The Excel file must contain only one sheet of data.

  • No cells must contain formulas.

  • No filters must be applied to any of the columns in the document.

  • Additionally, if you do not set a password for the users, please remove the password column from the sheet.

  • If you are not using any of the columns, those can also be deleted.

  • If you want to add multiple teams or departments, you have to separate them with a semicolon (for example: Sales; Marketing).

  • If you are assigning Direct Managers you need to add the direct manager ID, not their name, in the "Direct Manager ID" column.

  • If you are receiving an error message (click on the yellow triangle after the upload). There you will see the reason of the error. Then try correcting any mistakes, clear formatting of the sheet and upload again. This often resolves it!

Having created your user file, you are ready to import the new users into eloomi. First you need to locate and select your user file and click "Import users".


Next step is to match each of the properties of each column, you wish to import from your file, to the corresponding field in the platform (you can also select "Ignore" if you do not want a specific column to be added/updated. 



Next, you specify how this user data should be processed by the platform. Since we are importing new users, we can Import as: "Add", Update users on: "Don't update" (when users are being updated continuously, you can then select the appropriate constant property that never changes to anchor the columns to the correct user in the platform), Import type: "Create and Update users", and finally, you set the Activation type accordingly. You can choose to "Don't activate" the users and first assign learning content before activating them. Otherwise, you can choose one of the three user activation methods.

Final step is to click "Import users". 

Progress and any import errors are displayed below (be sure to refresh your browser to see current progress). When clicking any of the imported files, a status for each line of data from your user file will be displayed. Once the import is completed you may navigate to Admin > Organization > Users to view the imported users.
