Setting up custom notification mails in Appraisal

How to set up notification mails in Appraisal.

Having notification emails in Appraisal helps with personalizing the experience for the stakeholders involved and serves as a reminder when it's their turn to complete an action in the process.

To get started, navigate to Admin > Appraisals > (Your chosen process) > Progress.

  1. Click on the Action type of the Step you want a notification mail set up.

  2. In the dialog box on the left, click the Mail tab.

  3. Click Add new mail.

  4. Add your Subject line.

  5. Customize the Content of your email. You may select and add merge tags from the available list. Merge tags are dynamic details that adjust according to the receiver's profile information.

  6. As best practice, add a button to the email so it's easier for users to go directly to the process.

  7. Select an image directly from your local drive or from the eloomi Gallery.

  8. To finalize, set the Receiver. In Who should receive this email?, you may select one or more recipients. In Send a notification when, you can select when the notification is triggered.

  9. Once the changes are saved, click Exit.

Note: If you set up a notification mail in a Meeting step, there will be a third option in the Receiver tab:

If you toggle on Generate PDF before the meeting? under the Advanced settings of the Meeting step, you can attach the preparation material into the notification mail by selecting Yes to Should the preparation material be attached to the email?. Bear in mind, this option won't attach anything if you don't set up "Generate PDF before the meeting".

IMPORTANT!

  • When using the custom notification mails, it is best to disable the automated Mail Templates related to Appraisal notifications, under Admin > Settings > Mail Templates & History, to avoid redundant notifications.

  • You can add multiple notification mails in a Step. This is useful if you want to send specific information depending on the stakeholder you wish to notify.
