One of the biggest assets of building your Appraisal in eloomi is its ability to define specific paths for users depending on their development journey. This is especially useful in succession planning and employee career development, so you can ensure continuous growth and take your business to the next level.
To get started, navigate to Admin > Appraisals. Click Create new > Start from scratch. In the Progress tab, create your first User Flow.
To add another User Flow:
Click Add new user flow.
Add a Title. A Description is optional.
To finish, click Create.
Click Add new action to current flow on the relevant steps. This process will vary depending on your use case. This is explained below.
Finish by setting the Targets of the newly created Steps.
Use Cases
To put the use of multiple User flows into perspective, let's paint a scenario:
It's the end of the company's fiscal year and all your employees must undergo a performance appraisal to gain clarity on employees’ strengths and weaknesses. You use the 9-box Grid tool to determine your top talents, key employees, and low performers so you can plan your workforce management strategy. It is important for you to personalize the process for employees depending on their placement in the Grid.
CASE 1: Specific templates based on User flow
In Company A, all employees follow the same 7-step process to complete their Appraisal:
Grid Evaluation
Employee Preparation
Manager Preparation
Meeting
Development Plan setting
Employee sign off
HR validation
You set up 2 User Flows, one for all employees in a standard Development Plan and another for employees in a Performance Improvement Plan. You determined that there will be differences on how the Manager should prepare for the development meeting depending on their employee's development plan. This means that you need to create a unique Manager template for each flow, so you create the templates 'Performance Improvement' and 'Development'.
In this scenario, you need to:
Click Add new action to current flow for all Steps matching both User Flows.
Set the Target for all newly created Steps.
In the Manager Preparation step, you assign 'Manager Preparation - Performance Improvement' template to the Performance Improvement User Flow and replace it with the 'Manager Preparation - Development' template in the Development Plan User Flow.
You can create unique templates for all Template Steps in different flows if necessary.
CASE 2: Different number of Steps based on User flow
Company B follows a similar 7-step process as Company A. However, employees placed in the standard Development Plan will have one less step as HR does not need to validate their Appraisal process.
You set up 2 user flows, similar to Case 1. In this scenario, you need to:
Click Add new action to current flow for all Steps except the 'HR Approval' step.
Set the Target for all newly created Steps. In the 'Employee Sign off' step, ensure that your target is the final placeholder step.
In the live Development Plan process, there will be no HR Approval step and the process ends after the Employee Sign off.
Once you have finalized all your user flows, you need to assign these user flows to the appropriate box in the Grid.
In the Advanced settings of your process, toggle on Should the user flow be defined only by the grid evaluation?. This will 'lock' the User Flow based on the Grid position. This means the responsible person for the Grid evaluation cannot override your definition of the employees' performance.
Please note
You may combine the Case 1 and 2 setups if your process calls for it.
In a User Flow where a Step does not have an Action, the Step will never be visible to the users in the live process.
